Microsoft 365 Excel integration: Import contacts to Trustmary

Note: You can import contacts from Microsoft 365 Excel in two ways: by downloading and uploading files directly, or by setting up the Microsoft 365 Excel integration for automatic synchronization. This document covers the continuous integration from Microsoft 365 Excel to Trustmary

Continuous integration of contacts into Trustmary

Importing contacts from Microsoft 365 Excel enables you to leverage your existing contact databases, automatically sync new contacts, and organize your feedback campaigns using data you already maintain in your spreadsheets.

Step-by-step guide

Find the integration and authenticate to Microsoft 365 Excel

  1. Navigate to Settings > Integrations in your Trustmary dashboard.
  2. Find Microsoft 365 Excel integration.
  3. Authorize Microsoft 365 access.
  4. Click Connect to Microsoft 365 Excel to begin the authorization process. You'll be redirected to Microsoft to grant Trustmary permission to access your Excel files stored in OneDrive or SharePoint.
  5. In the Microsoft authorization screen, review the permissions and click Accept to grant Trustmary access to your Excel workbooks.

Set up the integration in Trustmary

  1. Back in Trustmary, click Add trigger. You'll see a list of your Microsoft 365 Excel workbooks. Select the workbook containing your contacts.
  2. Set up when contacts should be imported by configuring the trigger. Choose Workbook updated (or specific worksheet updated) to automatically import new contacts when your spreadsheet changes.
  3. Map your Microsoft 365 Excel columns to Trustmary contact fields. Ensure the email column is properly mapped as it's required for contact creation.
  4. Select which Trustmary contact lists should receive the imported contacts. You can choose a survey to be sent if new contacts are imported, or you can simply import them into a custom contact list.
  5. Save and activate the integration. Review your configuration and click Save to activate the integration. Your contacts will now be automatically imported when your Microsoft 365 Excel workbook is updated.

Test the integration

Add a test contact to your Microsoft 365 Excel workbook to verify the integration is working correctly. The contact should appear in your selected Trustmary list within a few minutes.

Clean your data: Ensure email addresses are valid and properly formatted

Use consistent formatting: Keep your column headers and data consistent

Include required fields: Email is mandatory; name and company are recommended

Test with small batches: Start with a small number of contacts to verify your setup

Regular maintenance: For the integration method, regularly review and clean your Microsoft 365 Excel data

Troubleshooting

Integration not syncing: Check that your Microsoft 365 permissions are still valid and refresh the connection if needed.

Duplicate contacts: Trustmary automatically handles duplicates based on email addresses.

File upload errors: Ensure your file format is supported (.csv, .xlsx, .xls) and doesn't exceed size limits.
